Privacy Policy

1. What this policy covers

This policy explains what data Nyansa collects when a school, teacher, student, or parent or guardian uses the Service, and how that data is used and protected.

2. Data we collect

  • Account information: name, role, email, and login credentials for staff, students, and administrators.
  • Tutor activity: a student's conversations with the AI tutor, practice questions, hints given, and exam mode sessions, each logged for teacher and administrator review.
  • Coursework: subjects, materials, assignments, quizzes, exams, grades, and lesson notes entered or generated within the Service.
  • Mastery evidence: topic level scores and progress trends derived from a student's coursework.
  • Where a school still uses Nyansa's attendance, fee collection, guardian communication, or reporting tools: attendance records, fee balances and payment references, guardian contact details, and term report data.
  • Payment records: amounts, dates, and payment references for school subscriptions and, where applicable, student fee payments. Card and Mobile Money details themselves are handled by our payment processor, not stored by Nyansa.
  • Messages sent through the Service, such as SMS reminders and announcements to parents and guardians.
  • Basic technical data (for example, device or browser type) needed to operate the Service reliably, including offline queued actions stored on a user's own device until a connection is available.

3. Student data

Student records are entered by the school or generated through a student's own use of the tutor, and remain under the school's control, not Nyansa's. Nyansa processes this data solely to provide the Service. We treat learner data with particular care given its sensitivity, and it is never used for advertising.

4. How we use data

Data is used to operate the Service: tutoring a student, generating lesson and grading support for teachers, computing mastery evidence, recording attendance and results where those tools are still in use, processing fee and subscription payments, and sending the messages a school configures. We do not sell personal data.

5. Who we share data with

We share data only with the following, and only the minimum each needs to perform its function:

  • Our payment processor, to process school subscription payments and, where a school enables it, student fee payments.
  • Our SMS provider, to deliver messages a school sends to parents and guardians.
  • Our AI provider, to generate tutor responses, lesson drafts, and quiz content. We do not send information that identifies a student by name to our AI provider beyond what is needed to generate a relevant response.
  • Suku360, a partner school operations platform run by the same company, but only for a school that has both systems and has explicitly linked them. In that case, Nyansa receives a limited roster from Suku360: student and teacher names, emails, identifiers, and class or subject assignments, used to create matching accounts and route tutoring to the right class. Nyansa in turn sends assessment scores and topic mastery evidence, not raw tutor conversations, back to Suku360 so it can inform that student's official school record.

6. Data security

We use reasonable technical and organizational measures to protect data, including access controls scoped to a user's role within their school. No system is perfectly secure, and we will notify affected schools of any breach as required by law.

7. Data retention

Data is retained for as long as a school's account is active, and for a reasonable period after to meet record keeping and legal obligations. Schools can request deletion of their data subject to those obligations.

8. Your rights

Guardians, staff, and students can ask their school, or contact us directly, to access, correct, or request deletion of personal data, consistent with Ghana's Data Protection Act, 2012 (Act 843).

9. Cookies and local storage

Nyansa uses only the minimal cookies and local storage needed to keep a user signed in, remember basic preferences such as low data mode, and hold queued actions on a device while it is offline, not third party advertising trackers.

10. Changes to this policy

We may update this policy as the Service evolves. Material changes will be communicated to school administrators.
